 ACADEMIC SUPPORT SERVICES STAFF

1. General Responsibilities

Coordinate
Coordinate counseling, tutoring programs and academic support services.
 
Plan
Assist student-athletes in planning strategies to meet athletic and academic demands.
 
Oversee
Oversee formal records and reports.

2. Specific Duties

Eligibility
Ensure adherence to all applicable NCAA and Big Ten Conference rules and regulations regarding eligibility.
Responsible for monitoring the eligibility and academic progress of each student-athlete.
 
Petitions/Waivers
Assist the compliance staff in preparing petitions and/or waivers required by the Big Ten Conference and NCAA.
 
Recruitment
Assist in student-athlete recruitment by discussing academic programs and academic support services with prospective student-athletes and their families.
 
Record Keeping and Reports
Maintain current academic and athletic eligibility records of student-athlete performance.
Gather data and update records each semester to determine athletic eligibility in accordance with Big Ten and NCAA regulations.
Gather data for and prepare reports as required by the athletics director.
 
Registration
Monitor the priority registration and class scheduling for student-athletes, including the maintenance of class schedules, and bookstore requests.
 
Study Table
Oversee study table opportunities for all student-athletes.
 
Student-Athlete Assistance
Assist student-athletes with priority registration and at drop and add to ensure adherence to eligibility rules and regulations.
Assist student-athletes with academic concerns.
 
University Information
Seek accurate and timely information concerning relevant University programs, and any other University policies and procedures relevant to student-athletes.
 
Academic Performance and Record Keeping
Monitor the priority registration and class scheduling for student-athletes, including the maintenance of class schedules, and bookstore requests.
Assist with monitoring the academic performance of student-athletes, including class attendance and grade checks, projection of grades, and eligibility status.
Assist with monitoring the development of an academic program of study for student-athletes, which will allow them to maintain eligibility and graduate.
 
Advising and Counseling
Assist in providing career and personal counseling, orientation, and personal development programs to student-athletes.
 
Book Issuance
Responsible for sending student-athletes’ schedules to University Bookstore prior to each semester so that books can be provided to the student-athletes who are receiving books as part of their GIA.
 
Grade Checks
Responsible for obtaining grade checks on student-athletes and sharing them with the coaches and sport administrators upon request.
 
Monitors Progress
Monitor selected student-athlete academic progress.
 
Reports
Assist in compiling reports as required by the Big Ten Conference, NCAA, athletics director, faculty athletics representatives, Athletic Affairs Committee members, and the senior associate athletics director for student services.

B. TUTOR AND MENTOR COORDINATOR

Specific Duties
Train incoming tutors and mentors on University, Big Ten Conference and NCAA rules and regulations.
Conduct continuing educational sessions for all returning tutors and mentors.
Organize and supervise tutor and mentor program.
Maintain a current working list of tutors and mentors.

C. ADMISSIONS 

1.                  Eligibility
Student-athletes are not eligible for participation in intercollegiate athletics unless they have been admitted to the member institution according to the regular published entrance requirements of the institution.

2.                  Admission Requirements
All entrance requirements are developed by the Office of the Provost and the various schools and colleges guided by the philosophy of Purdue University.

3.                  Decision to Admit
The decision to admit is made by personnel from the Office of Admissions.

4.                  Academic Support Services Staff The academic support services staff acts only as an information source to the appropriate admissions personnel.

D.     ABSENCE FROM CLASS FOR ATHLETIC EVENTS

2.        Circulation and Approval Procedure
Once the pending schedule has been finalized by the head coach and sport administrator, the pending schedule is ready for formal approval. The head coach is responsible for the following process:

a.      Prepare the pending schedule form to include date, time of competition and location of opponents.  The dates and times of campus departure and return must be included on the form.

b.      If a missed class waiver is required, this should be included at this time.

c.       After the Chair of the Athletic Affairs Committee formally approves the schedule, he or she signs the forms and returns to the senior associate athletics director for student services. The form is sent to the compliance office to be included in the sport-specific Time Management Plan.  A member of the compliance staff will then forward the approved schedule to the head coach and support staff members.

d.     Addendum’s to the schedule must also be formally approved and circulated utilizing the same procedures documented above.
